All registration cancellations and refund requests must be made in writing by Friday, December 12, 2025. A refund of the full conference fee, minus a $75 administrative fee, will be issued for cancellations received by that date. No refunds will be granted for requests submitted after Friday, December 12, 2025. Submit all cancellation requests in writing via email to IMARI Registration. Refunds will not be issued for no-shows. All requests for exceptions to the cancellation/refund policy must be submitted in writing by the registrant with appropriate documentation no later than Friday, February 6, 2026. After that time, no refund considerations will be made. Substitutions and on-site transfers are not available. Badge sharing, splitting, and reprints are strictly prohibited
Membership rates are available to active ASM and IDSA members. Individuals must have current membership status with at least one society at the time of registration and remain members through IMARI 2026. Individuals who register at the member rates without an active membership in ASM or IDSA will have the rate adjusted and are subject to cancellation.
Discount codes are utilized by invited speakers, award recipients, and sponsors. Use of a discount code is only valid at the time of the initial registration. Refunds will not be authorized for existing registrations where the discount code is redeemed after the initial purchase. Discount codes cannot be applied to already reduced/discounted registrations. Limit one (1) discount code per registration. Discount codes are non-transferable and may only be redeemed by the intended recipient. Registrations with unauthorized usage of discount codes are subject to rate adjustment or cancellation.
ASM and IDSA are committed to providing an outstanding experience for all participants. We strive for full access to the activities of these events based on an awareness of participants’ needs and appropriate planning. Accessibility accommodations relating to mobility, hearing, vision, or other areas may be provided. Participants are requested to submit accessibility needs for reasonable accommodations be communicated by Friday, December 5, 2025, via the registration process or by emailing IMARI Registration. Requests after this date and onsite requests will be accommodated to the best of our ability; however, available resources may be limited.
All attendees are expected to follow the Event Codes of Conduct to ensure a respectful and safe environment. This includes policies on behavior, professionalism, and ethics. Violation of the codes may result in removal from the meeting. Please refer to the societies’ websites for the complete codes.
To ensure a respectful and secure environment, taking photos, videos, or screenshots is not permitted during the meeting. This policy protects confidential information and the privacy of all participants. Unauthorized photography may result in removal from the meeting or other appropriate action.
Registration and attendance at, or participation in, IMARI and other activities constitutes an agreement by the registrant to the use and distribution of the registrant or attendees’ image or voice in recordings (both live and on-demand), photographs, videotapes, electronic reproductions and audiotapes of such events and activities by ASM, IDSA and other third parties.
IMARI is open to individuals who align with the mission and scope of the meeting. Participation may be limited based on relevance, capacity, or scope. ASM and IDSA reserve the right to refuse ineligible registrations.
Non-sponsoring companies or organizations are prohibited from soliciting attendees to transact business at the meeting. Non-sponsoring companies or organizations who are observed to be soliciting business in the IMARI function space or other public spaces will be removed from the meeting immediately.
